West Florida Public Libraries offer meeting rooms at several of its locations for use by community groups when library activities are not occupying the rooms. Any group may use the meeting rooms for lawful non-commercial purposes

Frequently Asked Questions

How do I book a meeting room?

There are three ways that a meeting room can be reserved. You can fill out the online form available on our website here, pick up a paper application available at the Pensacola, Tryon, Bellview or Southwest library locations, or call the library at which you would like to reserve a meeting room

How far in advance can I book a meeting room; can I book in advance for my monthly club meetings?

You may book a room up to six months in advance, and you many have up to six reservations at a time

Is there a charge to use the meeting rooms?

There is no charge for our meeting rooms at Pensacola, Bellview, Southwest or Tryon locations, but you are required to have a library card, and damage to library equipment or property may result in a fee.

Can I charge admission to my meeting?

You may not charge admission. The rooms are not-for-profit only. However, you may charge for supplies or instructional items.

Can I have food, drink or alcohol in the meeting room?

Light refreshments may be served; hotplates and chaffing dishes are not permitted, and kitchens are not available at most locations. Alcohol is not permitted. Patrons are responsible for cleaning up after the meeting.

Can I have a baby shower, family reunion, Tupperware party, etc. at the library?

No. Library meeting rooms are only for meetings, seminars, training sessions, etc. Parties and commercial events are not allowed.

Can I display a PowerPoint presentation or play a DVD/VHS?

Yes, but you must provide your own laptop/additional equipment. We do provide standard HDMI or VGA connection cords for PC products at some locations, but not for Apple products. Please verify beforehand that equipment is available and your equipment is compatible with ours. Meeting room features and equipment vary from branch to branch. 

Do the meeting rooms have microphones?

Not all meeting room locations have microphones. Please verify with the library branch if a microphone is needed.

Who sets up/breaks down the meeting rooms?

The patron is responsible for both set up and breakdown of the meeting room spaces. Please take this into account when making your reservation.

Can I get into the library before it opens to set up my meeting, or stay after hours?

No, access to the meeting rooms is permitted during library hours only.

Can I decorate the meeting room?

Yes, but the decorations must be free-standing, meaning that nothing can be attached to the walls, doors, windows, etc.
